AutoScan
Faster, smarter invoice scanning
AutoScan is Maventa’s recommended scanning solution for receiving PDF invoices. It is a fully automated, email-based service — suppliers send PDF invoices to a dedicated scan email address, and the data is extracted and delivered electronically to your invoice inbox in minutes, not hours or days.
Data extraction is powered by Smartscan, a machine learning-based solution for document data interpretation with continuously improving accuracy. Built-in automated quality checks (VERIFIED) cross-validate key fields like amounts and VAT, so manual verification steps are not needed. The result is a fast, cost-effective scanning pipeline that keeps getting better.
AutoScan launches in Finland on 12 May 2026. Finnish companies can start using AutoScan alongside or as a replacement for Scan Network. AutoScan is already available in all other supported markets.
Why AutoScan?
Near-instant processing
Invoices are interpreted and delivered in minutes. No queues, no waiting for business hours, no delays over weekends or holidays.
Automated quality checks
The built-in VERIFIED feature cross-validates key fields like amounts and VAT — catching inconsistencies automatically so you don’t have to.
Continuously improving accuracy
Smartscan learns from every document it processes. The more invoices flow through the system, the better it gets.
Simple setup
Activate through the API or the Maventa user interface. AutoScan provides a dedicated email address — share it with your suppliers and start receiving invoices.
How it works
- Activate AutoScan for your company. Maventa provides a dedicated scan email address in the format
countrycode-BID@autoscan.maventa.com. - Share the scan email address with your suppliers.
- Suppliers send PDF invoices to the scan email address.
- AutoScan interprets the invoice data using Smartscan machine learning and delivers the structured invoice along with the original PDF to your Maventa account.
- Fetch the invoice through the API, just like any other received invoice.
Scanned invoices are treated as standard incoming e-invoices. The same API flow, format conversion, and webhook notifications apply — no separate integration is needed.
Regardless of the scanning solution used, the recipient should always verify the accuracy of scanned invoices.
AutoScan vs. Scan Network
For companies already using Scan Network, here is how the two services compare. Both services can also run side by side — each has its own dedicated email address.
| AutoScan | Scan Network | |
|---|---|---|
| Technology | Machine learning (Smartscan) | OCR + manual validation |
| Processing time | Minutes | Hours to days |
| Manual review | No | Yes — quality control step |
| Line scanning | Available (pilot) | Not available |
| VAT distribution | Extracted and cross-validated | Calculated from totals |
| Email scanning | ||
| Postal scanning | Not available | Finland and Sweden |
| Country availability | All markets (Finland 12 May 2026) | FI, SE, NO, DK, NL, BE |

Built-in quality with VERIFIED
Unlike Scan Network, AutoScan does not include manual human-in-the-loop data verification. Instead, it uses the Smartscan Premium VERIFIED feature, which applies automated checks and cross-validation across key invoice fields to ensure the data is mathematically consistent:
- Header totals vs. line totals
- VAT amounts vs. base amounts and VAT percentages
- Line-level totals vs. VAT amounts
If everything matches, the data is marked as verified. If discrepancies are found, Smartscan can often correct values automatically based on cross-validation — reducing the need for manual corrections downstream.
Line scanning Pilot
AutoScan can also interpret invoice line-level data, including item numbers, descriptions, quantities, unit prices, and VAT per line. In the current pilot version, line scanning processes the first 5 pages of the invoice. Contact Maventa support to enable it.
Getting started
AutoScan is available in Finland from 12 May 2026. Activation requires an active Maventa account with invoice receiving enabled.
Since AutoScan has its own dedicated scan email address, it can be easily tried out alongside an existing Scan Network setup — no need to switch over or make changes to your current scanning flow. We highly recommend giving it a try.
Activate the service through the REST API or the Maventa user interface.
